Since its foundation in 2004, the vocal ensemble Vox Luminis–led by bass Lionel Meunier –has been internationally praised for its unique sound, both with a cast of soloists and in larger productions. Vox Luminis specialises in English, Italian and German repertoire from the 17th and early 18th centuries, bringing to life not only well-known masterpieces, but also rare gems. A core of vocal soloists is supplemented, depending on the repertoire, with an extensive continuo, solo instruments or a complete orchestra.

2. Vox Luminis is responsible for the processing of your personal data. You can always change or delete your personal data at your discretion.

3. We take data protection very seriously. We ensure that your personal data is protected in an appropriate manner. In doing so, we base ourselves on the provisions of the General Data Protection Regulation (GDPR for short).

4. With this privacy statement we inform you about how we handle your personal data once you have subscribed to one of the Vox Luminis newsletters.

2. What do we do with your information?

1. The personal information you provide when registering is processed by Vox Luminis registration is processed by Vox Luminis for the following purposes and legal bases:

• inform you about concert schedules, programming, CD releases and all activities related to the operation of the ensemble
• to publish information in accordance with your personal privacy settings
• to send our newsletter (via Mailchimp), invitations and/or other information about products and services
• to obtain public grants (legal obligation).

2. Your personal information allows Vox Luminis to :

• map your interests so that we can provide you with personalised recommendations.
• perform general user management
• contact you if necessary
• generate fully anonymous statistics on the use of Vox Luminis and share them with interested third parties (e.g. cultural organisations) as part of a knowledge exchange
• further optimise the Vox Luminis website and information channels. If you wish, you can decide at any time not to make (certain) personal information public.

3. When do we process or use what personal data?

1. When using the website, we mainly collect functional information.

Cookies are small data or text files that websites place on your local computer. These cookies can serve different purposes: there are technical cookies (e.g. language settings), session cookies (temporary cookies) and tracking cookies (cookies that follow and track your behaviour on the website in order to provide you with a better user experience).

2. When you subscribe to the Vox Luminis newsletter, we also store the following more personal information:

• General: e-mail address, first name and surname.
• Depending on the applications you use with Vox Luminis, the following information may be processed – always with your permission: first name, last name, street name, postal code, country, telephone number, profile picture, date of birth, place of birth, nationality, gender, lifestyle profile, language in which you wish to be addressed.
• in specific cases (e.g. as an employee via private access):
  1. identity data – identity or passport number
  2. national register number
  3. bank details

3. Personal information obtained by automated means: certain information is collected automatically each time you use Vox Luminis’ online channels.

4. We will retain personal information in your personal profile for as long as you remain registered with Vox Luminis. This allows us to provide our services to you in the best possible way.

5. When you cancel your registration, your actions will be disconnected from your personal information and kept anonymous for an unlimited period.

6. We use the data collected only for the purpose for which it was obtained.

4.  When do we disclose your personal data to third parties?

1. We may provide the data you give to Vox Luminis to third parties if this is necessary for the purposes described above.

For example, we use a third party to :

• taking care of the internet environment (web hosting)
• Taking care of the IT infrastructure (e.g. the computer network)
• Handle and distribute newsletters and invitations

2. We never pass on personal data to other parties with whom we have not concluded a processing agreement.

3. In the course of extending our services, we collaborate with subcontractors (e.g. hosting providers for the website). These companies are located in the European Economic Area and are contractually bound to strictly adhere to the Vox Luminis privacy policy. They act only on instructions from Vox Luminis and take the necessary measures to adequately protect personal information.

5.    Access and rectification rights

1. You have the right to request information about the processing of your personal data free of charge. Under the GDPR, you also have the right to have this personal data amended if it is incorrect or incomplete. In addition, you can request the deletion of your personal data or the prohibition of its use if it is not relevant.

6. What are your rights as a “data subject”?

1. In accordance with the General Data Protection Regulation of 27 April 2016 (GDPR), you have specific rights regarding the processing of your personal data. You have a right of access and a right to rectify or delete the personal data you have provided to us. At the top of this privacy statement, you will find out how to contact us.

2. You can always – free of charge and without having to give reasons – object to the processing of your data for direct marketing purposes.
3. You have the right to ask us, free of charge, what personal data we hold about you and, if necessary, to have this data corrected, transferred or deleted free of charge.

4. You have the right to ask us, free of charge but stating the reasons, to restrict the processing of personal data or to object to the processing.

7. How do we secure your personal data?

1. Vox Luminis takes appropriate security measures to protect your information from, among other things, unexpected destruction, accidental loss, malicious alteration or unauthorised access. Among other things, we use firewalls, ensure that all information and files are stored on a secure terminal and protect all passwords with encryption technology.

2. The use of pseudonyms or logins and passwords or access codes is your responsibility as an end user. You undertake to keep them confidential. In the event of loss, theft or misuse of login information, we ask you to inform us immediately by e-mail with the subject line “Vox Luminis private access login”.

8. Where can I go for questions and/or complaints?

1. Vox Luminis makes every effort to respect your privacy. Of course, there are always things that can be improved. We ask you to send us any comments and/or complaints using the contact information provided above.

2. If you feel that we have not responded adequately to your complaint, we would like to inform you that you also have the right, at any time, to contact the Belgian Data Protection Authority (Commission for the Protection of Privacy) and, if necessary, to file a complaint, if you feel that your rights have been violated.

9. Storage period

Vox Luminis does not retain personal information longer than is necessary for the purposes for which it was provided or as required by law, i.e. no longer than 10 years.

1. Vox Luminis always reserves the right to change this privacy statement. Therefore, please check the latest version of this document regularly. If you do not agree with a change in the privacy statement, you always have the option of terminating your account.
